POSITION: Administrative Assistant

SUPERVISOR: Co-CEO

TYPE: FLSA exempt, full-time

SALARY: $50,000/year

JOB SCHEDULE ANDLOCATION: Delta staff are able to set flexible work hours and locations, including working from home or in our downtown Albuquerque office. Candidates will be expected to work on office projects and attend meetings in our office 2-3 times per week and may also be asked to support in-person, out-of-office meetings, conferences, and events. Please be aware that mandatory meetings, conferences, and events sometimes require evening and/or weekend work, which can be offset by time off after an event.

THE ADMINISTRATIVE ASSISTANT’S ROLE AT DELTA MANAGEMENT GROUP: Administrative Assistants are entry-level decision-makers whose duties include, but are not limited to, document filing and organization, email and phone communications, completing mailing and printing projects, data entry and database management, calendar management, basic website maintenance, marketing and outreach tasks, and help with special projects. Administrative Assistants work as part of a team of Delta staff members to ensure excellent services are provided to our clients. Administrative Assistants report to Program Managers, Account Executives, and Delta Leadership who are responsible for the oversight and implementation of both Delta’s and our clients’ day-to-day operations and management.

WHAT YOUR FIRST SIX MONTHS MAY LOOK LIKE: In the first six months, this position will split their time 50/50 between one healthcare-related client and Delta’s office management/general operations. For the healthcare-related client, the Administrative Assistant will support the client’s Executive Director in the day-to-day management of the client, including filing and file management, conducting initial reviews of purchase requests and expense reports, note taking, and managing client calendars. For Delta, the Administrative Assistant will support the Co-CEO in basic office management, including checking and distributing mail for all clients, conducting regular inventory, ordering supplies, and managing regular office vendors. This position may also support basic Delta operations tasks, including file management.

COVER LETTERS: While resumes are a useful tool for listing relevant work experience, we feel they are not as effective at communicating applicants’ personalities and creating connections between previous work and the advertised position. We ask for cover letters because we know there is more to an applicant’s experience than what can easily be shared on a resume. Additionally, all of the positions at Delta require daily written communication and a cover letter can be used as a writing sample for this position.

JOB DESCRIPTION - Administrative Assistant

CORE RESPONSIBILITIES

Administrative and Special Project Support

  • Support phone and email communications for Delta and assigned client(s) 

  • Complete large-scale mailing and printing projects 

  • Process client mail, including checking mail at least twice per week, scanning mail, and emailing scanned mail to the appropriate staff/client

  • Collect, scan, process, and deposit checks for clients and Delta 

  • Various administrative tasks, including filing, printing, and mail processing 

  • Assist with board and other meeting management, including managing calendar invitations, sending reminder emails, and taking minutes when necessary

  • Support the development and implementation of internal processes and procedures for assigned client(s) and Delta Management Group

  • Support day-to-day operations for assigned client(s), including processing forms and payments, making approved purchases, and creating assigned documents

  • Conduct assigned research projects

  • Assist in event preparation, including managing event registrations and booking travel

  • Exercise discretion and independent judgment in managing projects for client deliverables

Database and Website Management

  • Client and Delta calendar management

  • Tracking, updating, and validating data in spreadsheets 

  • Assist with basic website maintenance and management, using client membership databases and outreach platforms 

Office Management

  • Working with Co-CEO, support the management of Delta Management Group’s Albuquerque office, including managing general office organization and maintenance

  • Maintain office supplies, which includes conducting regular office inventory checks and purchasing pre-approved supply orders

  • Support the management, inventory, and assessment of Delta Management Group technology, including maintaining technology management systems like the Tech Check-Out Spreadsheet

  • Act as the primary point of contact for select vendors and provide support for vendor management, including maintaining water delivery and shredding calendars and ensuring deliveries and pick ups are conducted in a timely manner

  • Attend annual fire safety meetings, as required by property management, and present key information and lessons learned to Delta staff

Client Relations and Outreach

  • Support client relations, including the development and distribution of thank you gifts, holiday cards, etc.

  • Support outreach and marketing efforts, including developing and ordering marketing materials (flyers, cards, give aways, etc.), attending marking events as assigned, and maintaining client prospect list
